AP Aging Report Generation
Producing an accurate AP aging report usually means exporting open bills from the accounting system, rebuilding the aging buckets in a spreadsheet because the native report doesn't quite match how finance wants it grouped, and manually adjusting for invoices under dispute or on hold so they don't misleadingly show as overdue. This gets redone every week or before every cash-flow meeting, and the spreadsheet version drifts from the accounting system the moment a new invoice is entered or a payment clears, so whoever built it is constantly re-exporting to keep it current.

How the automation works
We connect directly to your accounting system and generate the AP aging report on a schedule or on demand, using your actual bucket definitions (current, 1-30, 31-60, 61-90, 90+) and automatically excluding invoices flagged as disputed or on hold from the overdue totals rather than lumping them in. The report is delivered as a live, always-current view rather than a static export, broken down by vendor and by department, with a short AI-written summary flagging which vendors have the largest aging balances or fastest-growing overdue amounts week over week.
Process flow
- 01
Scheduled or on-demand refresh trigger
The report regenerates automatically on a set schedule (daily or weekly) or instantly when someone requests a current view.
- 02
Pull open payables integration
All open, unpaid invoices are pulled directly from Xero or QuickBooks along with due dates, hold status and dispute flags.
- 03
Apply aging buckets ai
Invoices are sorted into your configured aging buckets, with disputed or on-hold invoices excluded from overdue totals and shown in a separate category.
- 04
Flag notable movement ai
A short written summary highlights vendors with the largest balances, fastest-growing aging, or invoices that just crossed into a new bucket.
- 05
Deliver report output
The aging report is delivered by email, dashboard link or straight into your reporting tool, broken down by vendor and department.

Works with
Prefer a fully custom build instead of an off-the-shelf integration? We scope both options during your free consultation — most jobs like this one work fine on standard connectors, but higher-volume or non-standard systems sometimes need bespoke API work, reflected in the complex tier.
Where this goes wrong if you get it wrong
- Invoices on formal payment hold or under dispute shouldn't count toward the same overdue totals as invoices simply waiting in the normal payment cycle — mixing them together makes the aging report look worse than the real cash risk and erodes trust in the number.
- Partial payments against an invoice need the aging calculated on the remaining open balance and the original due date, not reset to the payment date, or partially paid invoices will misleadingly appear current.
- Multi-currency payables need aging calculated in a consistent reporting currency using a defined FX rate source (spot rate at report date is common), or the totals will shift for reasons unrelated to actual aging.
- A vendor with invoices split across multiple entities or subsidiaries should be aggregated consistently — decide up front whether the report shows aging per entity or rolled up group-wide, since the two answers can look very different for the same vendor.
Frequently asked questions
Can the report match our existing aging bucket structure?
Yes, the buckets are configured to match whatever structure your finance team already uses, whether that's the standard 30/60/90 split or a custom set of ranges.
Does this replace our accounting system's built-in AP aging report?
It builds on top of it — the native report is usually too rigid to exclude disputes or match your exact grouping, so this layer adds the flexibility while still pulling live data from the same source.
How current is the data in the report?
As current as your accounting system — the report reflects real-time or same-day data rather than a weekly export that's already stale by the time someone reads it.
Can different people get different views, like a department-specific report?
Yes, the underlying data supports filtering and delivering department- or entity-specific versions alongside the company-wide view.
