Automata ("Automata", "we", "us", "our") is committed to protecting your personal data. This policy explains what information we collect, why, how we use it, and the rights you have under the General Data Protection Regulation (GDPR) and Maltese data protection law.

Automata is the data controller for the personal data described in this policy. We are based at Block LS3, Malta Life Sciences Park, San Gwann, SGN 3000, Malta.

2.1 Contact form. When you submit our contact form, we collect your name, email address, company name, phone number, industry, area of interest, budget range, and any message you provide.

2.2 Website hosting and form processing. Our contact form is submitted through our website hosting provider's form-handling infrastructure, which processes the submission on our behalf before it reaches us.

2.3 Website usage data. Our hosting provider may log basic technical data (such as IP address, browser type, and request timestamps) for security and reliability purposes. We do not currently run analytics, advertising, or behavioural tracking on this site.

5. Data Retention

We keep contact form enquiries for up to 24 months from your last interaction with us, unless you ask us to delete them sooner. If your enquiry becomes a client engagement, we retain contract and invoicing records for 7 years, as required by Maltese accounting and tax law. Website security logs are typically retained for 12 months.

6. Data Sharing and Third Parties

We share limited personal data with the following categories of third party, strictly to operate our website and business:

  • Website hosting and form-processing provider — hosts this site and processes contact form submissions on our behalf
  • Google Fonts — our site loads typefaces from Google's font service, which may receive your IP address when a page loads

Where a provider is based outside the EEA, we rely on appropriate safeguards such as Standard Contractual Clauses. We do not disclose your data to third parties for their own marketing purposes. We may disclose personal data where required by law, court order, or to protect our legal rights.

We use industry-standard technical safeguards to protect your data, including encrypted connections (HTTPS) between your browser and our site. No method of transmission or storage is 100% secure, but we work to protect your data using reasonable organisational and technical measures.
