We deploy an extraction pipeline trained across varied invoice layouts rather than a single fixed template, so it reads vendor name, invoice and PO numbers, line-item description, quantity, unit price, tax and total regardless of format. Extracted fields are validated against vendor master data and simple arithmetic checks (do the line totals sum to the invoice total) before anything is written to your accounting system, and any invoice the model isn't confident about is routed to a reviewer with the low-confidence fields highlighted rather than silently guessed at.

Where this goes wrong if you get it wrong

  • Multi-currency invoices with tax calculated in a different currency than the line total require the extraction to carry both currency codes through, not just a single numeric total, or conversion errors slip in silently.
  • Scanned invoices with poor image quality or handwritten annotations will always have a lower confidence ceiling than digital PDFs — set a genuinely conservative auto-post threshold for scans rather than applying the same threshold used for clean digital invoices.
  • Line-item tables that span multiple pages or wrap awkwardly are a common source of dropped rows; the extraction needs explicit page-continuation handling, not just per-page parsing.
  • Vendors who change their invoice template mid-relationship (new logo, reordered columns) will temporarily depress extraction confidence — treat a sudden accuracy drop for one vendor as a template-change signal to investigate, not a system fault.
